COMPLETING LTEP APPLICATION – What the Club needs to know 

The following procedures are an outline for the benefit of the participating club YEO to properly help the long-term nominated candidate to complete the application process for the coming Rotary Exchange year.

  1. The application is only accessible through a link that is sent directly to the candidate by the current District 5100 Outbound coordinator after a current nomination form has been received.
  2. DO NOT USE the application that can be found at www. Rotary.org. or other websites.
  3. Candidate should attend the Outbound application seminar in October.
  4. Each candidate needs to complete the online application process, including required documents on medical, dental, and school transcripts, etc. The Club Endorsement and Signed Authorization forms will need the club signatures before being uploaded to the YEAH system.
  5. Each club YEO has access to the YEAH hub and can monitor the progress of their student.
  6. Each club YEO needs to meet the following deadline dates for forms that need to to go to the District 5100 Outbound Coordinator:
    • July 15 – Intent to participate form due to the District. This is usually collected at PETS. It is now to be filled out by the YEO.
    • September 30 – Student Nomination form due to the District Outbound Coordinator (by email or mail). The outbound application fee is due at this time.
    • October – Outbound student and club counselor should attend the Outbound application seminar held in early October.
    • October 31 – Due date to have completed Part 1 of the application process and approved by the District Outbound Coordinator.

The District Outbound Coordinator can provide necessary support and consultation to participating club officials when requested. The objectives and goals of the D-5100 Youth Exchange program (Outbound program) will be to effectively produce highly motivated, academically sound, and well-qualified youth exchange candidates within the Region.
